Evernote Vs. Notion - Detailed Comparison - Which is the best app in 2024?

Staying organized, even with today's technologies, is not always the simplest of tasks. With information overload and hundreds of note-taking and organizational applications at your fingertips, it's easy to become overwhelmed. If you're looking for a project management tool to store and organize notes as well as other important information, you may have heard of Evernote or Notion at some point or another.

Notion and Evernote are both project management tools designed to streamline the process of managing project goals, funnels, and notes with ease.

What is Evernote?

Evernote is a note-taking application that is designed to provide advanced features such as the ability to save image files, clip pages from the web, export PDF files, and even import scans. Evernote is a leading note-taking app that is ideal for capturing, storing, and organizing all of your online discoveries in one central location.

Who is Evernote For?

Evernote is designed for a variety of users, from the individual who wants to organize bookmarks or great discounts on the web, to marketers and professionals who are working with other users to collaborate. Evernote is available to individual users, but also offers a business plan for those who are interested in collaborating with team members or working with others on extensive documentation projects.

What is Notion?

Notion is another note-taking app that is designed as an inclusive workspace application designed to be the main tool for teams and collaborators. Notion uses three main components: Notes and docs, projects and tasks, and Team Wiki to provide the complete package for those who are interested in saving notes, tasks, and projects with the use of one tool.

Who is Notion For?

Although Notion can be used by individuals, its original intent was to reach those who are working in teams or in need of a collaboration app solution. Notion is designed to work for those who intend to upload and share notes and documents with others in a safe and secure cloud-based environment.

Accessibility and Ease of Use

Before choosing project management or note-taking apps, it is important to familiarize yourself with the platforms each provides to determine which interface works best for you. Because not all applications operate in the same manner, it is often advisable to give all options you are interested in a chance to find the right solution for you.

Evernote Accessibility

Evernote is extremely accessible and can be used whether you are on your desktop's web browser, on a desktop application, or even using your smartphone.  Evernote is available for Android, iOS, Windows, and Mac devices.

The UI, or user interface, of Evernote, is extremely user-friendly and does not take long to adjust to, even for beginner users. While Evernote is suitable for professional and business use, it is also designed with the individual user in mind, making it one of the most popular note-taking apps available on the app market today.

You can begin adding notes to your Evernote account within seconds, and with the use of drag-and-drop features. With Evernote, it is also possible to capture images from the web and record audio for further note-taking functions and organizational solutions.

Notion Accessibility

Notion provides similar accessibility to Evernote, as it is also available whether you are browsing the web, using your desktop computer, or even on your mobile phone. As an all-in-one project management tool, you can easily get started with Notion once you are familiar with the building blocks that are included with the app.

Notion features visual building blocks that help you to better organize your thoughts, text boxes, pages, to-do lists, headings, and more with a simple click of the mouse. With Notion, anyone, even a beginner, has the ability to get started with their note-taking and organizing within minutes of installing the app.

Accessibility Verdict

Ultimately, both Notion and Evernote are tied when it comes to accessibility. Both Notion and Evernote are available on desktop computers, mobile smartphones, and are also available as in-browser apps, making them some of the most accessible project management tools to date.

Features

Before downloading and installing any project management tool, compare the core features they have to offer. When it comes to both Notion and Evernote, there are many features offered by each, which is why it is recommended to take a deeper look into both before coming to a decision of your own.

Templates

Both Evernote and Notion provide a complete library of templates to choose from to help get you started with your next project. However, with Notion, there is more flexibility in terms of template style and content blocks, as Notion uses a building block method for its user interface. If complete customization of your project management template is important to you and your team, you may want to give Notion a try.

Storage

Storing documents, images, captures, and even recorded audio files can quickly add up when it comes to storage space.

Evernote Storage

For users of Evernote, there is a maximum storage upload limit of 60MB per month with the current Basic plan available from Evernote. It is also possible to upgrade your Basic plan account if you have a business account or an account with multiple team members.

Notion Storage

Notion provides unlimited storage and does not limit its members in terms of storage limits, even for those who are using a basic Notion plan. There are file upload limits that must be followed, however, even with advanced Notion plans.

Ultimately, for those who want to free themselves from storage limits, Notion is a clear winner in the Storage category.

File Size Limitations

If you are in need of a project management tool that allows you to upload large files, you will need to compare the file size limitations of both Evernote and Notion.

Notion File Size Limitations

If you are using the free plan available to all users of Notinon, you will have a limit of 5MB per file that you upload. Keep in mind, the standard file size of one audio song file (MP3) is approximately 3-5MB, which can be limiting for those who intend to record longer audio clips or for those who are interested in uploading larger documents, images, or PDF files.

You can delete files that are no longer in use to free up space within your Notion account, or you can opt to register for a paid plan for additional storage.

Evernote File Size Limitations

With Evernote, you will have a bit more flexibility when it comes to your file upload restrictions and limitations. Currently, all users have the ability to upload files as large as 25MB each. This is ideal for longer audio files, graphics, PDF files, and scanned documents.

Overall, our preferred pick in terms of file size limitations when it comes to managing projects and taking notes in Evernote. Evernote provides the ability to upload files that are 5 times larger than those when using Notion.

Integration Features

Connecting with third-party applications or using an API is commonplace in today's app development and project management worlds. If you are interested in integrating your note-taking or project management tool with third parties, compare your options for both Evernote and Notion before choosing your preferred app.

Notion Integrations

Notion provides users with the ability to import and embed content into specific blocks within an existing project. Currently, the following third-party integrations are compatible with Notion:

  • GitHub
  • Google Drive
  • Figma
  • Loom

It is important to note that although some Google services can be used with Notion, others such as Google Docs cannot. Google Docs cannot currently be used with Notion, as Notion has its own branded version of similar services that are already built into the core of the Notion app itself.

Evernote Integrations

Evernote integrations are also possible, although they work a bit differently than those with Notion. With Evernote, it is possible to use the following third-party apps with any project you are creating or managing, as they are built directly into the Evernote core workflow automatically:

  • Microsoft Outlook
  • Microsoft Teams
  • Slack
  • Gmail
  • Google Drive
  • Salesforce

Integrations Verdict

If you are working with a team of developers or if you are interested in advanced options when it comes to third-party integration, the obvious choice is Evernote. However, if you prefer to work with an all-inclusive note-taking app that includes all features and third-party benefits within its own core, Notion delivers everything you need to get started.

Search Features

Clipping images and saving pages or notes is one task, but finding them can be a venture of its own without the proper management or note-taking app. When it comes to searching for your saved notes and files, the search feature of Evernote and Notion may be the reason you make your decision.

Notion Search Function

maxresdefault-4

Notion has a simple and straightforward search feature that allows you to quickly search for notes using titles and keywords. With the Notion 'quick find' feature, all you need to do is enter in a few keywords that you remember from your notes to quickly locate the file automatically. You can also use numerous sorting options when you are searching with Notion, including:

  • Best matches (most relevant based on the keywords you enter)
  • Oldest first (show the oldest and most relevant documents first)
  • Newest first (show the newest and most relevant documents first)

Evernote Search Function

cleanshot-2022-03-28-at-18-12-302x

With Evernote, users will gain access to a more sophisticated and advanced search feature. Using Evernote's search features can help you to find just about any type of document or note you have saved. Some of the ways you can use the search feature for all Evernote users (including free users) include:

  • Search for specific keywords and/or phrases that are included in the notes you are trying to find.
  • Save a search that will help you to locate similar items again in the future with just one click.
  • Use an advanced descriptive search feature included with Evernote. The descriptive search feature allows you to browse for saved documents and notes with phrases such as 'documents with images' or 'notes with audio recordings'. This will help to simplify and streamline all of your search efforts, which is optimal when collaborating with others or working at a fast pace with a large number of notes.

While Notion is a perfectly suitable tool for note-taking and for searching, ultimately, Evernote has more to offer when it comes to advanced search options. Those working in teams or working with collaborators may find Evernote's search features to be much more in-depth, allowing them to find documents at a much faster rate than with Notion.

Security

Security is imperative whenever you are online, whether you are saving notes for a personal project or sharing documents and project plans with team members and collaborators. When it comes to security, it is important to verify that every app you use and install regularly has your best interests at heart.

Evernote Security

Currently, Evernote uses the Google Cloud platform to deploy its app services. Google Cloud is one of the most advanced and top-tier secured hosting solutions on the web. Evernote's security includes AES-256 encryption with the use of Google Cloud.

Additionally, Evernote also deploys TLS security. Because Evernote uses both physical data centers along with cloud data centers, TLS security provides an additional layer of protection to all users of the app and Evernote services.

Notion Security

Notion also uses the TLS security setup with all data centers that control the application. Notion is deployed with a VPN and is currently hosted on AWS, or Amazon's Web Services.

It is important to note that Notion does not claim to encrypt data from end to end. Instead, it only encrypts data while data is in transit from one location to the next, as well as when data is not in use, or at rest.

Because Notion does not claim to provide end-to-end encryption and Google Cloud is known to provide iron-clad security from the top down, the winner in terms of security for note-taking and project management tools is Evernote

Pricing

When it comes to browsing for and purchasing any new piece of software or application, it is important to take the time to research and compare pricing. While some applications are free to use, others require payment upfront or ongoing premium subscription plans. Before choosing a note-taking app that is right for you, compare the pricing of both Notion and Evernote plans.

Notion Pricing

cleanshot-2022-03-28-at-18-15-122x

With notion, the pricing structure is transparent and straight to the point. Currently, Notion offers three main pricing plans, including:

  • Personal Plan: Free: Includes the ability to create unlimited pages, allows users to share notes with up to give users, and includes the ability to sync multiple devices for sharing and accessibility purposes.
  • Personal Pro: $4.00 per month: Includes version history access/recall, unlimited file uploads, and the ability to upload and share notes with an unlimited number of guests.
  • Team: $8.00 per month: Share with an unlimited number of guests, receive advanced editing permissions, and gain access to an exclusive collaborative team workspace for Team subscribers of Evernote only.

Getting started with Notion is not only easy, but it is also free if you are interested in just gaining access to the basic features that the app has to offer. For those who have personal projects in mind, Notion is a great pick.

Evernote Pricing

cleanshot-2022-03-28-at-18-13-322x

Evernote also includes three pricing tiers, which are all a bit steeper than Notion's premium plans. Currently, Evernote's packages are as follows:

  • Basic: Free: Includes the ability to sync up to two devices, access to Evernote's 'Web Clipper' feature, and access to Evernote's rich formatting platform.
  • Premium: $7.99 per month: Access to all of the above in addition to the ability to store and save offline notes, the ability to create PDF annotations, and the ability to create your very own custom templates.
  • Business: $14.99 per month: Includes all of the above in both Basic and Premium plans, along with the ability to view team activity history, the ability to collaborate with other team members in one central shared space, and a team management suite. This option is ideal for those who are working in a company or an organization with multiple team members.

In terms of price, Notion takes the cake. While Evernote's prices are not outrageous and are likely to be affordable even for individual users who are not using a project management tool for commercial uses, it is best suited for corporate entities and larger teams.

Our Pick

At the end of the day, both Notion and Evernote are excellent top-tier picks when it comes to project management and note-taking apps. For those who are working on individual projects, Notion delivers every step of the way. However, our ultimate pick in terms of functionality, features, security, upload limitations, and advanced editing is Evernote.

Although Evernote is designed with team collaboration in mind, it provides an extensive number of features that can also be used by those who are working on individual projects of their own.
